What is Stripe?
Stripe is a company that processes billions of dollars a year for thousands of businesses, from newly-launched start-ups to Fortune 500 companies. Stripe powers major web and mobile platforms around the world including Twitter, Kickstarter, Shopify, Salesforce, Lyft, and, of course, Regatta Toolbox. learn more
How does Stripe work?
In order to receive entry fee payments you must create (or connect) a Stripe account to collect the funds. Creating a Stripe account is easy, you just need basic bank details from your sailing club or association (this is a similar process to creating a PayPal or Venmo account for your club, just with a different payment processor).
Once your Stripe account is set up and connected to your event you are ready to receive funds. As soon as competitors start to register for your event funds will automatically be deposited into your Stripe account, in real time. This means you get paid before the event begins, unlike the delayed, manual service our competitors offer. Once funds are in your Stripe account you can transfer them to your club or association's bank account at any time.
Please check out our pricing page for rates, or contact us with any questions.
When will I get paid?
The short answer: much sooner than you're used to. Thanks to our Stripe integration we can deposit entry fee payments directly into your account as they flow in (no more waiting on checks to arrive in the mail). Depending on what country you are in, you can expect to receive your funds in 1-3 days. If a transfer is scheduled on a weekend date, expect the payment on the following Monday.
What about refunds?
Refunds can be handled by the event organizer through the event dashboard, or through your Stripe account for FREE. No need to contact us to refund a competitor!
How do Club Charges work?
Registrants can now enter their Yacht Club Member Account as an alternative payment method, and event organizers can verify accounts on the back end to avoid fraudulent charges. Club member charges are also 100% free!
How does Regatta Toolbox protect sensitive payment information?
We take payments very seriously. That is why we rely on Stripe - a leading payment processor - to keep sensitive information locked down.
Stripe is in full compliance with PCI-DSS requirements for online payments through web or mobile devices. Sensitive payment information never touches Regatta Toolbox servers.
In addition to standard card payments we offer several payment methods that allow you to pay without entering sensitive card details at all. Not only does that make transactions easier, it can also make them more secure.
Apple Pay allows you to pay with a card that you already have on file with Apple. We are proud to be one of the first platforms on the web offering Apple Pay.
You can learn more about Apple Pay security here.
Stripe allows us to securely charge a card you used previously on Regatta Toolbox without transferring sensitive data a second time. When you pay for a service on Regatta Toolbox we give you the option of storing a highly encrypted version of your payment details in Stripe's digital vault. For all future payments on Regatta Toolbox you will have the ability to charge the last card you used. Like Apple Pay, this means that you don't have to enter sensitive information on subsequent payments.
You will notice that Regatta Toobox has access to retrieve the last 4 digits of your card and display them as a convenience for you during subsequent purchases. However, due to advanced security measures even Regatta Toolbox cannot access more than the last 4 digits. This ensures that sensitive data never hits our servers.
You can learn more about Stripe security here.
Why was my card declined?
Declines happen for many reasons. The fraud signals banks use vary, so a previously successful card might later be declined. If problems persist, it's best to try another card, or contact your bank to learn more.
E-Signatures
Can I use Regatta Toolbox to collect legally binding e-signatures from sailors?
Yes. Regatta Toolbox is the only regatta management platform that makes it easy to collect legally binding e-signatures as part of the online registration flow.
These signatures fully comply with the requirements of the U.S. Electronic Signature in Global and National Commerce Act of 2000 (ESIGN), the Uniform Electronic Transactions Act (UETA), the European Union eIDAS (EU No.910/2014), the Canadian Uniform Electronic Commerce Act (UECA), the Australian Electronic Transactions Act (ETA), the New Zealand Electronic Transactions Act (ETA), the South African Electronic Communications and Transactions Act (ECTA) regarding electronic signatures and transmissions.
How does pricing work for e-signatures?
Pricing for e-signatures is based on the number of contracts sent to competitors on the organizer's behalf. Typically this amounts to about $1 USD per entry, assuming there is one waiver involved. Let's take a look at a few examples:
If you request e-signatures for a single waiver and 50 boats register for your event then we will send out 50 contracts during the registration flow. The cost will be roughly $50 USD. Even in the case of double or triple-handed classes we send a single contract per boat (with multiple signees) so the cost remains just $1 USD for the entire team. This is true no matter how many sailors you have on each team.
There is, however, one situation in which we must send out additional e-signature requests on your behalf (resulting in additional charges). This happens when an entrant fails to list all of the crew members during the initial registration process.
When an entrant adds crew members after the fact we send another contract to the newly added crew members, resulting in an additional charge of $1 USD for each new contract sent.
How are e-signature charges processed?
When we make an e-signature request on your behalf we attempt to tack the $1 USD e-signature fee onto our standard processing rates. You will notice the cost of the e-signature as a slightly higher Regatta Toolbox application fee in your Stripe dashboard.
In the case that we are unable to assess the e-signature charge as part of our standard application fee (for instance, if a participant pays via club member charge) we will charge the card that the organizer has put on file for the event.
Wristbands
What is the Regatta Toolbox wristband system?
Our wristband technology is the best way to keep your sailors safe on and off the water. The wristbands are designed to completely replace paper sign in and sign out systems. As an organizer you get access to a real-time dashboard that displays the current status of all of the sailors in your event. Unlike manual sign in and sign out systems you and other administrators can view this dashboard from anywhere, on any device, and immediately access sailor information and emergency contact details if needed.
The wristbands themselves are made from durable waterproof silicone. Each one contains an embedded chip that, when excited by a scanner, returns a unique 10 digit code. It is a passive (no battery required) technology that can be used for life.
How do they work?
At registration, you can quickly assign a wristband to a specific competitor or team, and its theirs to keep for the event. Using our kiosks, the sailors can scan when they go sailing, and scan again when they return ashore. All of these scans are logged in the organizer's dashboard so you can see at a glimpse where everyone is.
How does the kiosk work?
The kiosk uses a wifi enabled tablet and a reader. Competitors scan their wristband and on the display they will see thier name, sail number, and their profile picture. No need to touch the sceen, the next person can scan right away.
What wifi is required?
We highly recommend a dedicated, strong, and reliable wifi signal to use the kiosks effectively. If local wifi is not available, we encourage the use of portable hotspots or pairing with a personal hotspot from a phone or tablet with 4G or LTE connectivity. Unreliable wifi may cause slower than desired response times.
What is a registration reader?
The registration reader is a usb peripheral that plugs into any laptop. This is a great accessory to have during registration to quickly assign wristbands to competitors. No software needed. If you don't have one of these, you can use your kiosk at registration to assign wristbands.
Do wristbands have GPS?
No! Our wristbands require no battery for use, so GPS is not supported. Our platform only logs when the user scans at a kiosk.
Why should I upgrade?
The short answer: safety. Paper based tracking is old school. Our wristbands allow organizers and race officials to know who is sailing or ashore in an instant on mobile, tablet or laptop. This becomes invaluable in emergency situations. Emergency contact details and medical conditions are only a click away.
Scoring
How is Regatta Toolbox scoring different?
The short answer: ease of use. Older systems are clunky, hard to use, and a pain to edit if you make a mistake or want to update scores. We fixed all that, so scoring with Regatta Toolbox is a breeze. We also optimized the scoring system for mobile devices so you can score on a laptop, phone, or tablet.
Can I score from the water?
Yes! We designed our scoring system for all devices in mind and all you have to do is tap to score. As long as you have an internet signal you can stream scores in real time.
What type of scoring is supported?
One-Design scoring is supported with manually adjustable scores to accommodate scoring changes as well as for series longer than a regatta. Fleet scoring for a round robin style series, or fleet scoring for qualifying and finals is also supported. We will be adding support for handicapped racing soon.
What letter scores are used?
Letter scores are straight out of the World Sailing Racing Rules of Sailing, Appendix A. Letter scores like OCS, DNF, DNS, and DSQ are entries +1 by default. We provide additional options to suit your scoring needs.
What about other types of letter scores?
Other letter scores like RDG, DPI, DNE, and DGM are manually selected scores.
What is an SRS score?
Although not a standard Appendix A scoring abbreviation, SRS stands for Special Race Score and may be used for customized points score used in some special case finishes.
How does predictive sorting work?
Predictive sorting will list boats in the scoring panel based on their overall position in the event. In some cases this may improve scoring time, since you'll see the boats that are likely to finish at the top first.
Regatta Toolbox Plus
What is Regatta Toolbox Plus?
Regatta Toolbox Plus is suite of products designed specifically for class associations. The Plus suite includes a powerful member database, instant verification of membership status during registration for sanctioned events, and an easy user interface for members to check, update, and renew their memberships.
Who is Regatta Toolbox Plus for?
Any organization looking to create and maintain an active membership database and seamlessly integrate it with event registration. Some great examples are area sailing associations and class associations requiring annual membership.
What if I already have a database?
No problem! We've created a 'lite' version that allows us to connect your database with our registration via an API. We can also migrate your database to ours. Please contact us and we will be happy to help.
How much does it cost?
Like our events, if you aren't charging a fee, neither are we. If you are charging a membership fee, the cost is 7% of the membership fee, plus processing. For example, if your association charges $20.00 for annual membership, we take $1.40. If your association is a registered non-profit you can also benefit from reduced processing fees.
What else can Regatta Toolbox Plus do?
Many associations charge 'sanctioning fees' to the organizer for hosting an event. We can now automate this entire process with zero transaction fees for the class association. How does it work? Class associations can now specify a per-boat fee that should be allocated to the class at sanctioned events. When a competitor registers for a sanctioned event Regatta Toolbox seamlessly splits the entry fee and routes funds to both the organizing club and the class association accordingly. Both the class association and the organizing club receive the funds instantaneously, as soon as each competitor registers.
How can I get started?
